PDF Report Workflow with airSlate: A Beginner's Guide

If you have ever spent an afternoon copy-pasting data into a report template, converting it to PDF, and then emailing it to three different people for approval, you already know the problem. The process is slow, error-prone, and completely unnecessary in 2025. Document automation solves all of that — and with the right tool, you can have a working PDF report workflow running in under 20 minutes.

This guide walks you through building that workflow using airSlate, a no-code document automation platform. If you need document workflows and e-signatures without writing a single line of code, airSlate is the fastest way to get there — it handles everything from template creation to routing and legally binding signatures.

What You Will Build

By the end of this tutorial you will have a workflow that:

  • Triggers automatically (from a form submission, a schedule, or a data source)
  • Populates a branded PDF report template with live data
  • Routes the document to the right recipient for review or signature
  • Sends a confirmation email and stores the signed PDF automatically

No coding required. No PDF editor needed. Everything runs inside airSlate's visual workflow builder.

Step 1: Create Your airSlate Account and Start a New Slate (2 min)

Head to airSlate and sign up for a free account. Once inside the dashboard, click Create new Slate. A "Slate" is airSlate's term for a workflow. Give it a clear name such as Monthly Sales Report – Auto PDF so it is easy to find later.

Step 2: Upload or Build Your PDF Template (5 min)

You have two options here:

  • Upload an existing PDF — If you already have a report template in Word or PDF format, upload it directly. airSlate will let you place fillable fields on top of it.
  • Use a built-in template — airSlate includes a library of ready-made document templates. For a basic report, the "Business Report" template is a solid starting point.

Once the document is in the editor, drag and drop Text Fields onto every area that should be filled dynamically — client name, report date, revenue figures, summary text, and so on. Name each field clearly (e.g. {{client_name}}, {{total_revenue}}) because these names become the data-mapping keys in later steps.

Step 3: Set the Workflow Trigger (3 min)

Click the Flow tab and select your trigger. The most common options for a report workflow are:

  • Web Form — Someone fills in a form (internally or externally) and that submission kicks off the PDF generation.
  • Schedule — The workflow runs automatically every Monday morning, every month-end, or on any custom schedule.
  • Integration trigger — Data arrives from an external app (Google Sheets, Salesforce, HubSpot, etc.) and immediately starts the document process.

For this tutorial, select Web Form. airSlate will create a linked form where a user can enter the report variables. The form fields map directly to the template fields you named in Step 2.

Step 4: Map Your Data to the PDF Fields (3 min)

With the trigger in place, open the Bot panel. airSlate uses pre-built automation bots to handle data routing, notifications, and integrations. Add the Pre-fill Document from Web Form Bot. This bot reads the values submitted through the form and injects them into the matching template fields automatically.

Check the field mapping table that appears. Every form field should point to its corresponding PDF field. If a field is missing, you can add the mapping manually in under 30 seconds.

Step 5: Add a Recipient and Configure Routing (4 min)

Now decide who needs to act on this document. In the Recipients section, add one or more steps:

  • Approver — Reviews the PDF and clicks Approve or Decline.
  • Signer — Receives the document for a legally binding e-signature (powered by airSlate's signNow engine).
  • CC recipient — Gets a read-only copy for their records.

You can hard-code an email address or pull it dynamically from a form field (e.g. {{manager_email}}). For a team report workflow, dynamic routing means the right manager always receives the right document without any manual intervention.

Step 6: Add Notification and Storage Bots (2 min)

Add two more bots from the bot library:

  • Send Email Bot — Fires a branded confirmation email to the submitter once the document has been signed or approved. You can customise the subject line and body text with the same dynamic field values.
  • Export to Google Drive / SharePoint Bot — Saves the completed, signed PDF to a folder of your choice automatically. No manual downloading required.

Step 7: Test and Publish (1 min)

Click Test Slate. Fill in the web form with sample data and watch the workflow run end to end. Check that:

  • All PDF fields are populated correctly
  • The routing email arrives in the right inbox
  • The signed document lands in the correct storage folder

Once everything looks good, click Publish. Your automated PDF report workflow is live.

Tips for Scaling This Workflow

Once the basics are working, here are a few ways to level up:

  • Multi-step approval chains — Add a second signer step so that both a team lead and a department head must sign before the document is archived.
  • Conditional routing — Use airSlate's condition bots to send the document to different recipients based on a field value, for example routing reports over €50,000 to senior management automatically.
  • Connect to your CRM or spreadsheet — The Google Sheets integration bot can pull data from a live sheet, meaning your weekly report can be generated and sent with zero human input.

Why Document Automation Matters for Small Teams

Manual document handling is one of the highest-friction tasks in any small business. A single report that takes 15 minutes to produce manually, reviewed by two people, filed by one more, can easily consume an hour of collective time — every single week. Multiply that across monthly invoices, onboarding documents, compliance checklists, and sales proposals, and the hours add up fast.

Automating even one of those document types with a tool like airSlate pays for itself in days, not months. The workflow you just built can be cloned and adapted for any other document type in under five minutes.

If you are ready to stop manually building PDF reports, you can set up your first automated document workflow via airSlate — including document workflows and e-signatures (signNow) without code — to save hours every week and eliminate copy-paste errors for good.

Schritt 3: Workflow-Trigger festlegen (3 Min.)
