Why Manual Call Logging Is Costing You Deals
Every sales rep knows the feeling: a call ends, the next one starts immediately, and the notes from the first conversation never make it into the CRM. Hours later, key details — a pricing objection, a promised follow-up, a competitor name — are gone. Manual call logging is not just tedious; it is a direct source of lost revenue and inconsistent customer data.
AI call summaries solve this by capturing, structuring, and routing conversation data automatically. With KrispCall — a cloud phone system with built-in virtual numbers, call routing, and AI call summaries — combined with n8n for workflow automation, you can build a pipeline that logs every call and updates your CRM without anyone lifting a finger.
What You Will Build
This workflow does three things automatically after every phone call ends:
- Captures the AI-generated call summary from KrispCall via webhook
- Parses the summary to extract key fields: contact name, phone number, topics discussed, action items, and sentiment
- Updates your CRM (HubSpot, Pipedrive, or any tool with an API) with a structured call log entry
No manual notes. No forgotten follow-ups. Every call becomes a clean, searchable CRM record.
Tools You Need
- KrispCall — cloud phone system with AI call summaries and webhook support
- n8n — open-source workflow automation to connect everything
- Your CRM — HubSpot, Pipedrive, Salesforce, or any API-accessible CRM
- OpenAI (optional) — for additional structuring or enrichment of summary data
Step-by-Step: Building the Workflow in n8n
Step 1: Set Up a Webhook Trigger in n8n
In your n8n canvas, add a Webhook node. Copy the generated webhook URL — you will paste this into KrispCall's integration settings. Set the HTTP method to POST and leave the response mode as "Last Node."
Step 2: Configure KrispCall to Send Call Summaries
Inside your KrispCall dashboard, navigate to Settings → Integrations → Webhooks. Create a new webhook and paste the n8n URL. Select the trigger event "Call Completed" — KrispCall will then POST a JSON payload to n8n every time a call ends. This payload includes the caller's number, duration, agent name, transcript excerpt, and the AI-generated summary.
Step 3: Parse the Incoming Data
Add a Set node (or a Function node for more control) to extract the fields you need from the webhook payload. Typical fields to map:
contact_number— the caller's phone numberagent_name— who took the callcall_summary— the AI-generated summary textcall_duration— in secondscall_timestamp— ISO 8601 date-time
Step 4 (Optional): Enrich the Summary with OpenAI
If you want structured output — for example, extracting action items as a bulleted list or classifying call sentiment — add an OpenAI node between the parser and the CRM step. Send the raw call_summary as a prompt with an instruction like: "Extract action items and overall sentiment (positive/neutral/negative) from this call summary. Return JSON."
Step 5: Look Up or Create the CRM Contact
Add a HubSpot (or Pipedrive / Salesforce) node. Use the Search Contact action with contact_number as the lookup key. If a contact is found, proceed to log the call against their record. If not, use an IF node to branch: create a new contact first, then log the call.
Step 6: Create the Call Log Entry in Your CRM
Using the CRM node's Create Activity or Log Call action, write the following fields to the contact record:
- Subject: Call on [date] with [agent_name]
- Notes: the full
call_summarytext - Duration:
call_durationin minutes - Action items: extracted from OpenAI (if used)
- Sentiment: classified label
Step 7: (Optional) Notify the Team via Slack or Email
Add a Slack or Send Email node at the end of the workflow to notify the responsible account manager. Send a short message with the contact name, summary snippet, and any action items. This closes the loop without requiring anyone to check the CRM manually.
Tips for a Production-Ready Workflow
- Add error handling: Use n8n's Error Trigger node to catch failed CRM writes and re-queue them.
- Deduplicate calls: Store processed call IDs in a database or Google Sheet to avoid duplicate log entries if the webhook fires twice.
- Filter internal calls: Add an IF node early in the workflow to skip calls from internal numbers or below a minimum duration (e.g., under 30 seconds).
- Use n8n Cloud or self-host: n8n is open-source — self-host it for free on your own server, or use n8n Cloud for a managed experience with zero setup.
What This Workflow Replaces
Before this automation, a typical sales team spent 10–15 minutes per call on manual logging — writing notes, switching tabs, finding the right CRM contact, and updating fields one by one. For a rep making 20 calls a day, that is up to five hours of administrative work every week. This workflow collapses that to zero while producing more consistent, structured records than any human note-taker.
Extending the Workflow
Once the core pipeline is running, you can extend it in several directions:
- Trigger a follow-up email sequence in your email marketing tool based on call sentiment or keywords
- Update deal stage automatically if the summary contains phrases like "ready to sign" or "requested proposal"
- Generate a call report PDF weekly from accumulated CRM data
- Route hot leads to a priority pipeline based on AI-detected buying signals
